Automating Dropship & Brokerage Operations at Scale

How a multi-brand distributor eliminated manual order handling and cut fulfillment errors by connecting dropship and brokerage workflows through SBSA Technology's EDI and automation platform.

The client is a mid-market distributor that sells consumer goods directly to major retailers and marketplaces under a dropship model, while also operating a freight brokerage arm that arranges third-party carrier pickup and delivery for its own shipments and for partner suppliers. In effect, the company runs two interlocking operations from the same order stream: it must fulfill retailer purchase orders as a dropship supplier, and it must simultaneously select, tender, and track carriers as a broker — all without owning a fleet or a warehouse of its own.

This dual role made the business highly dependent on clean, fast data. Every order needed to flow correctly through three different worlds at once: the retailer's EDI requirements, the carrier or broker's tendering and tracking process, and the company's own ERP and accounting records.

Dropship and Brokerage Don't Automate Themselves

Dropshipping and brokerage each add their own layer of coordination on top of a normal order. Combined, they multiplied the client's operational overhead:

  • Fragmented order intake: Purchase orders arrived as EDI 850s from big-box retailers, CSV feeds from marketplaces, and email/PDF POs from smaller distributors, each needing to be manually re-keyed into the ERP.
  • No single view of carrier assignment: Because the brokerage side selected carriers order-by-order based on lane, weight, and cost, staff were toggling between spreadsheets, carrier portals, and the ERP to confirm who was actually moving each shipment.
  • Manual label and BOL generation: Shipping labels, bills of lading, and SSCC pallet labels were built one at a time, which slowed down high-volume shipping days and introduced labeling errors that led directly to retailer chargebacks.
  • Disconnected acknowledgments and invoicing: Order acknowledgments (855s), advance ship notices (856s), and invoices (810s) were often late or inconsistent, since they depended on someone manually confirming a shipment had gone out before triggering the paperwork.
  • Accounting reconciliation lag: Because fulfillment data lived in separate systems from the brokerage's freight cost data, finance teams spent days each month reconciling what was billed to retailers against what was paid to carriers.
  • Compliance risk: Retailers' EDI and labeling requirements change frequently; keeping mapping and compliance rules current for 20+ trading partners was a full-time burden on a lean operations team.

Individually, none of these gaps was catastrophic. Together, they meant that every order required multiple people touching multiple systems before it could ship compliantly — a structure that could not scale past the client's current order volume without adding headcount.

How SBSA Technology Solved It

SBSA Technology's cloud-based EDI and order automation platform was implemented to sit at the center of the client's order lifecycle, connecting retailers, marketplaces, brokerage/carrier workflows, and the company's ERP into a single automated flow.

1. Unified order intake across every channel

SBSA consolidated incoming purchase orders — EDI 850s from retailers, marketplace order feeds, and distributor POs — into one processing screen, using its network of 400,000+ connected trading partners. Orders that used to require manual re-entry now land automatically in a standard format ready for fulfillment, removing the keying errors that were the root cause of many downstream chargebacks.

2. Automated carrier and brokerage routing

For shipments requiring third-party carrier tendering, SBSA's automation rules apply the client's existing lane, weight, and cost logic to assign a carrier the moment an order is ready to ship — covering small-parcel partners (UPS, FedEx, DHL, USPS) as well as freight carriers for shipments over 150 lbs. This gave the brokerage side of the business a systematic, auditable routing process instead of a manual, spreadsheet-driven one.

3. One-click labels, BOLs, and compliance documents

Shipping labels, bills of lading, and SSCC box/pallet labels are now generated in bulk directly from the order queue, formatted to each retailer's specific compliance requirements. This cut per-order handling time dramatically on high-volume shipping days and removed the labeling mistakes that had been driving chargebacks.

4. Automatic acknowledgments, ASNs, and invoicing

As soon as an order is confirmed and shipped, SBSA automatically returns order acknowledgments (855), advance ship notices (856), and invoices (810) to the relevant trading partner — keeping the client compliant with retailer EDI scorecards without staff having to trigger each document by hand.

5. Real-time sync with accounting and ERP

Every order, shipment, and invoice event syncs automatically with the client's accounting system (the platform supports QuickBooks, Xero, NetSuite, SAP, Microsoft Dynamics, and others), so finance no longer reconciles fulfillment records against freight and billing data after the fact — the records are already aligned as transactions happen.

6. Built-in compliance management

SBSA's team maintains and updates trading-partner mapping and labeling requirements on the client's behalf, so changes from a retailer's EDI or routing guide are absorbed by the platform rather than surfacing as a chargeback weeks later.

With order intake, carrier/brokerage assignment, labeling, documentation, and accounting all connected through SBSA, the client's operations team redirected its time from data entry and error-chasing toward exception handling and partner growth — onboarding new retailers and marketplaces without adding operational headcount.

Why SBSA Fits the Dropship + Brokerage Model

Dropship and brokerage operations both depend on the same underlying need: getting accurate data to move automatically between parties who don't share a system. SBSA is built specifically for that problem:

  • A single platform spans EDI, API, carrier/broker workflows, and ERP sync — no stitching together separate point solutions.
  • A network of 400,000+ trading partners means new retailers, marketplaces, and carriers can be onboarded quickly rather than custom-built.
  • Managed EDI options let lean teams hand off ongoing compliance and mapping maintenance instead of hiring for it.
  • Bulk label, BOL, and SSCC generation is designed for exactly the high-volume, multi-carrier shipping pattern that brokerage and dropship models create.

For businesses operating as both a dropship supplier and a freight brokerage, disconnected systems are not a minor inconvenience — they are the operational bottleneck. SBSA Technology's automation platform gave this client one connected flow from purchase order to carrier tender to invoice, turning a manual, error-prone process into a scalable one, without requiring the company to change its underlying business model.

SBSA Technology helps distributors, brokers, and suppliers automate exactly this kind of multi-party complexity — connecting retailers, marketplaces, carriers, and accounting systems into one compliant, hands-off workflow.
